Privacy Policy

How Trenton Hoyt LLC collects, uses, shares and protects information when you visit our websites, contact us, or use our client tools.

Last updated October 23, 2026

This is a master policy for all Trenton Hoyt LLC products and services.

1. Who we are

This policy covers Trenton Hoyt LLC ("we," "us") and the websites, client portals, short links and tools we operate, including trentonhoyt.com and customer sites we host. Where we host a site or portal for a client organization, that organization is responsible for the information it collects about its own members, and we handle that information on its behalf.

2. Information we collect

  • Information you give us: your name, email address, phone number, organization, messages sent through our contact and intake forms, and anything you choose to include.
  • Account information: your email address, password (stored only in protected, scrambled form), sign-in history and two-step sign-in settings.
  • Client and billing information: proposals, invoices, payment records, and tax forms such as W-9s that contractors upload. Card and bank details are entered with our payment processors, such as PayPal, and are not stored by us.
  • Short link and QR code visits: the date and time, whether the visit came from a QR code, the general device type and the referring website. We do not store your IP address for these visits.
  • Basic technical information: browser type, pages viewed and error reports used to keep the site working.

3. How we use information

  • To respond to inquiries and provide the services you request.
  • To create and send proposals, invoices, receipts and reminders.
  • To operate accounts, portals and organization tools, and to keep them secure.
  • To understand how our pages and links are used so we can improve them.
  • To meet legal, tax and accounting obligations.

4. Automated tools

Some of our tools use artificial intelligence services to help draft text. We send only the content needed for the task, we review drafts before they are used, and we do not sell your content or allow it to be used for advertising.

5. How we share information

We do not sell or rent personal information. We share it only:

  • With service providers that help us run our business, such as hosting, email delivery, payment processing and AI drafting services, under obligations to protect it.
  • With a client organization, when you interact with a site or portal we operate for that organization.
  • When required by law, to protect our rights or the safety of others, or as part of a business transfer.
  • With your permission.

6. Text messages and calls

If you give a phone number to us or to a client using our outreach services, you may receive messages only as you have agreed. Reply STOP to opt out of text messages at any time. Message and data rates may apply. We do not share mobile opt-in information with third parties for their own marketing.

7. Cookies and similar tools

We use small browser storage items needed to keep you signed in and to remember settings. When we run advertising, such as Google Ads or Meta ads, those platforms may place cookies or similar tools to measure results and show relevant ads, as described in the platform sections of this policy. You can control these through your browser settings and the opt-out links listed there.

8. How long we keep information

We keep information as long as needed for the purpose it was collected, then delete or anonymize it. Financial, tax and payment records are kept as long as the law requires.

9. Security

We use encrypted connections, access controls, private file storage, two-step sign-in for privileged accounts and activity records. No system is perfectly secure, so please contact us right away if you believe your information has been exposed.

10. Your choices and rights

You may ask to see, correct or delete personal information we hold about you, or ask us to stop sending you messages. Depending on where you live, including Texas and California, you may have additional rights under state law. We will not treat you differently for using these rights. To make a request, use our contact page. We may need to confirm your identity first.

11. Organization workspace records

Records you enter in a client workspace, such as members, donors, grants, projects, formation drafts and pay worksheets, are visible only to authorized people in your organization and to our staff when needed to support you. Trenton Hoyt LLC decides which tools are turned on for each organization, and turning a tool off does not delete its records.

12. Accounts you connect yourself

Some workspace tools let you connect your own email, calendar, file or social accounts. Each connection belongs to the person who made it, is stored encrypted, and is used only for the tool you connected it to. You can disconnect at any time from Your connections, and you can also remove access in the other service's own settings.

13. Children

Our services are not directed to children under 16, and we do not knowingly collect personal information from anyone under 16. If you believe a child under 16 has given us information, contact us and we will delete it.

14. Accessibility

If you need this policy in another format, contact us and we will provide it.

15. Changes to this policy

We may update this policy. The date at the top shows when it last changed. Significant changes will be posted on this page.

Compass Campaign terms

These rules apply to Compass Campaign in addition to the master policy above.

Additional information collected

  • Account details such as pronouns, Texas voter ID or a statement that you are not registered to vote, and any Volunteer Deputy Voter Registrar (VDVR) numbers you add.
  • Campaign information: contacts, organizations, voter records, notes, outreach history, walk results and form submissions that campaigns add or receive.
  • An edit log recording who changed each record.

How it is used and who can see it

We use this information to match accounts to the public voter file, keep each campaign's data separate and record who changed what.

Each campaign's private notes, statuses and outreach history are visible only to that campaign's members. Shared voter and organization records are visible to campaigns whose race area or access lists include them. VDVR numbers are visible to you and to campaigns in the counties where you are a registrar or where you live.

Public voter records

Voter information comes largely from public voter registration records. Its use is limited to election, political and governmental purposes, as Texas law requires.

Data accuracy

Compass Campaign does not guarantee that it holds all data for your race, district or area. Voter, organization, district, precinct and contact data may be incomplete, out of date or inaccurate.

Updates

Compass Campaign users will be asked to accept any updated version of this policy before continuing to use the service.

Heron Dispatch terms

These rules apply to Heron Dispatch in addition to the master policy above.

Additional information collected

  • Brand materials you give us: logos, colors, voice, topics and your website address.
  • Public content from your website, which we read to write your posts.
  • Social account connections: when you connect Facebook, Instagram or Threads, we receive an access permission from Meta, plus the names and IDs of the Pages and accounts you choose.
  • Posts we create for you, their images, schedules and publishing results.

Information from Meta

We only post to the Pages and accounts you choose. We do not read your private messages, and we do not use your information for advertising.

Data received from Facebook, Instagram and Threads is used only to publish and manage your posts and is handled according to Meta's Platform Terms. You can disconnect at any time inside Heron Dispatch or in your Facebook settings under Apps and Websites. Connection keys are kept on our servers and are never shown in your browser.

Sharing and deletion

We share Heron Dispatch information only with the providers that run the service, including hosting, database, and AI writing and image providers, and with the social networks you ask us to post to. When you ask us to delete your data, we remove it within 30 days, except where the law requires us to keep it longer.

Social media platforms (Facebook, Instagram, Threads, LinkedIn, X, TikTok, YouTube and others) terms

These rules apply to this platform in addition to the master policy above.

What we receive

When you connect a social account to one of our tools, or let us manage a Page or account for you, we receive only the permissions you approve, such as the account name, ID and permission to publish or read insights. We use this information only to publish, schedule, manage and report on content for you. We do not sell it, use it for advertising profiles, or read private messages unless you ask us to manage them.

Following platform rules

Data from each network is handled according to that network's developer and platform terms, including Meta Platform Terms, LinkedIn API Terms, X Developer Policy, TikTok Developer Terms and YouTube API Services Terms. YouTube users also agree to the YouTube Terms of Service, and Google's Privacy Policy applies at https://policies.google.com/privacy.

Data deletion instructions

  • Disconnect the account inside the tool, or remove our app in that network's settings (for Facebook: Settings, then Apps and Websites).
  • Then email connect@trentonhoyt.com with the subject "Data deletion request" and the account name. We delete the related data within 30 days, except records the law requires us to keep, and confirm by email.

When you message or follow us

If you comment on, message or follow our own social accounts, the network shares that interaction with us. We use it only to respond and to understand interest in our work. The network's own privacy policy also applies.

Google services and Google Ads terms

These rules apply to this platform in addition to the master policy above.

Google account connections

Some tools let you connect a Google account, such as Gmail, Calendar, Drive, Business Profile, YouTube or Google Ads. We request only the access a feature needs and use it only to provide that feature to you.

Limited Use

Our use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, do not sell it, and do not let people read it except with your permission, for security or as the law requires.

We do not intentionally use Google user data to train general AI models, and we take reasonable steps to keep connected accounts out of AI training. We cannot guarantee that this data is never processed in connection with AI systems, for example where a connected service or provider handles it as part of the feature you asked for. If that matters to you, contact us before connecting a Google account.

Google Ads

When we run Google Ads for ourselves or a client, Google may use cookies to show ads based on past visits, measure conversions and report results. We do not send Google sensitive information. You can manage ad personalization at https://adssettings.google.com and learn more at https://policies.google.com/technologies/ads.

Removing access

You can remove our access at any time at https://myaccount.google.com/permissions and ask us to delete related data using the instructions in the social media section above.

Advertising and measurement terms

These rules apply to this platform in addition to the master policy above.

Ads on other platforms

We may run ads on Meta, LinkedIn, X, TikTok, Microsoft and other networks. These platforms may use cookies, pixels or uploaded, scrambled (hashed) contact lists to measure results or reach audiences. We upload contact lists only when the people on them have a relationship with the advertiser and the platform's rules allow it.

Your choices

  • Meta ad preferences: https://www.facebook.com/adpreferences
  • Industry opt-out: https://optout.aboutads.info
  • Browser settings and Global Privacy Control signals, which we honor where the law requires.

Text messaging program terms

These rules apply to this platform in addition to the master policy above.

Mobile information

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are never shared with any third party, except service providers that deliver the messages.

Political text messages are delivered through a third-party messaging vendor we contract with. That vendor receives the phone numbers, consent records and message content it needs to run a program, register it with wireless carriers and honor STOP and HELP replies. It acts as a service provider only: it may not use your mobile information or a client's contact list for its own marketing, and may not sell it. The vendor's own privacy practices apply alongside this policy.
